Night to Shine Participant
Media & Liability Rights Release


By signing below, and/or by or in consideration for participating in an
event hosted by, sponsored by, or associated with the Tim Tebow
Foundation and WESTARK CHURCH OF CHRIST PROPERTIES CORPORATION (“WESTARK
CHURCH OF CHRIST”), I hereby give my full consent to Tim Tebow
Foundation, Inc., (“TTF”) a Georgia nonprofit corporation
headquartered in Florida and WESTARK CHURCH OF CHRIST, a STATE nonprofit
corporation, and other participants 1) to submit a background check
on my behalf and 2) to record, by writing, by video, photographic, or
audio recording device, or by any other analog or digital means, the
actions, physical likeness, biographical information, and/or voice of
me and/or any person of whom I am the parent or legal guardian,
including minor children (collectively referred to as the
“Participants”). Additionally, I hereby grant to TTF, WESTARK CHURCH
OF CHRIST and other participants, without royalty or other
compensation now or in the future, all rights of every kind and
character whatsoever, in perpetuity, in and to any and all such recordings,
along with any additional recordings I might provide to TTF, WESTARK
CHURCH OF CHRIST and other participants, and to any benefits inuring to
TTF and WESTARK CHURCH OF CHRIST as a result of its use of any of the
foregoing recordings. Among other things, TTF and WESTARK CHURCH OF CHRIST may,
but are not required to, copy or reproduce the recordings, edit or modify
them, incorporate them into other works, display or broadcast them or
any of the foregoing privately or publicly, and use or license
them or any of the foregoing for use by others, all for the sole benefit and
at the sole discretion of TTF and WESTARK CHURCH OF CHRIST, for the
advancement of TTF and WESTARK CHURCH OF CHRIST’s exempt charitable
purposes. All permissions granted herein extend to any successor
or assign of TTF and WESTARK CHURCH OF CHRIST and bind the Participants
and their heirs, successors, and assigns. I, on behalf of myself and of
all Participants, hereby release and discharge and agree to hold
harmless TTF and WESTARK CHURCH OF CHRIST, its directors, officers,
employees, volunteers, other participants, and independent
contractors, from any and all claims or damages, including but not
limited to defamation or violation of rights of privacy or publicity, arising
from or associated with the recording or use of the recordings. This
release shall be construed, interpreted and governed in accordance
with the laws of the State of Florida, and should any provision
of this release be determined invalid, such invalidity does not affect any
of the remaining provisions. I am of full age and have the right
to contract in my own name and for each Participant. This
agreement constitutes all of the understandings of the parties.

 

Night to Shine
Friday, February 7, 2025
6pm – 9pm
WestArk Church of Christ

A quick description of what each team member will be responsible for:

Buddy (must be at least 16 years old)

Team Leader:   Kim Lewallen

Accompany and assist assigned guest throughout the evening, providing companionship and any
assistance they may need during the event. Sit with their guest during dinner and engage with them in
conversation.

Caregiver Hospitality Room

Team Leaders:   Mark and Cheryl McMinn

Love on the parents/caretakers by serving food, spending time getting to know them and being available
to pray with them.  May include setting up and playing games, video games, or watching movies.

Character / Super Hero

Chose this team if you wish to come to Night to Shine dressed as a Super Hero, Santa Clause, or any other instantly recognizable character.

 

Check-in

Team Leader:  Staci James & Kim Lewallen

Welcome guests as they arrive, and help them find their way to the main event space, activities and
restrooms.

Warmly greet guests and sign them in and answer any questions they may have.

Greet volunteers, give them their name badges and direct them to their team leader.

Greet buddies, give them their name badges and direct them to their team leader for a pre-event
meeting on helping give their assigned guest the best experience possible.

Invite caregivers to either enjoy the respite room (parent prom) or stay with their King/Queen and show them the way to their activities.

Clean-up Crew - Friday Night

Team Leader:   Dwonne Cogswell

Help tear down (without tearing up) the Night to Shine decorations and returning the building to its normal condition.  The Friday Night Crew will  stay after the event (which ends at approximately 9pm) and late into the night.   We typically finish around midnight.

Clean-up Crew - Saturday

Team Leader:   Dwonne Cogswell

Come back to the building in the late morning and stay a couple of hours to finish cleanup of the building.

Coat Check and Lost & Found

Team Leaders: Rochelle Brown and Brian Robbins 

Greet guests, take their coats, label them and hang them. As guests leave, ask for their names and
retrieve their coats.

Decorations

Team Leader:   Dwonne Cogswell

The decorations team mission is to turn the West-Ark Church of Christ building into a beautiful palace fit for our Kings and Queens.  We utilize much of our building as well as outdoor spaces. Decorating begins early the week of the event but the bulk of activity occurs the day before the event, Thursday (day and evening) and the day of the event, Friday (morning and afternoon). 

You will be able to serve on other teams on the night of the event if you choose.

Decoration AM – February 3rd – 7th during working hours
Decoration PM – February 3rd – 7th after working hours (evening)

Floral / Crowning

Team Leader:  Coleen Shirley

Chose this team if you want to help obtain corsages and boutonnieres, help arrange them, and help keep them organized for pinning on the big night.

Also if you are a beauty pageant queen, military hero, or law enforcement and want to help place tiaras on Queens’ heads or want to crown our Kings.

Food Service

Team Leader:   Teresa Rose and Linda Davis

Assist caterer with unloading food, additional food preparation and set up food and beverages in the main event space and in the Caregiver Hospitality Room.

Gift Bag

Manage gifts and help each guest collect their favors to take home.

Hair and makeup

Team Leader:   Tatum Thompson

Queens will arrive dressed up and made up, but our hair and makeup team will add finishing touches.   Previous experience is preferred, but not necessary.

Karaoke

Team Leader:   Brent Evans

Set up and participate in any additional activities, including karaoke, with the guests.
Encourage them and maintain a fun atmosphere.
Help vendor and team leader setup and tear down equipment.

Medical

Team Leader:   Jennifer Gann

Assist uniformed professional EMT personnel at the event by providing basic first aid and care for any
medical needs or emergencies.

Photo Opportunity

Team Leaders:  Dave Cogswell

Take photos of Kings/Queens and their Buddies to be posted on social media to share with the Kings, Queens and their families. You may also be asked to assist in taking photos with their phones. 

Photography - Candid

Team Leaders:  Mike Burk

Candid Photography
Description:  Take candid photos of our King/Queen and all aspects of Night to Shine and submit as requested by the
Tim Tebow Foundation.  
(We will give you those specifics closer to the event.).

Red Carpet

Team Leader:  Cade Richards

Cheer, scream, holler for the Kings and Queens as they exit the limo onto the red carpet.

Take photographs and treat participants like honored guests and celebrities.

Security / Parking

Team Leader:  Chief Jeff Pointer and Chief Danny Baker

Support on-site uniformed Law Enforcement personnel by ensuring a safe and secure environment for
guests and volunteers. Coordinate with local police, fire and rescue as needed.

Maintain a parking pattern and direct traffic for easy vehicle entry and exit. Maintain open fire and
emergency lanes.

Shoe Shine

Team Leader:   Landon Lewallen

Welcome each guest to a seat for a shoe shine. Chat with them while you pamper them and make them feel special.

Transportation

Team Leader:   Ron Hamilton

Find limo / exotic cars to transport Kings and Queens from prep area (auditorium) to the red carpet (family life center).
Assist drivers in finding their routes.
Assist Kings and Queens into and out of the limo.
Possibly pick up participants who have to park away from the building

Videography

Team Leaders:    Jordon Brown

Videography and Support Staff: (Description:  Shoot footage of all aspects of Night to Shine and submit as request by the Tim Tebow Foundation..  We will give those specifics closer to time.)

Volunteers

All ages are welcome to volunteer.  No childcare will be provided.
Buddies must be at least 16-years-old.
